Accounts Payable & Payroll Specialist

This full-time position, based in our Pittsburgh, Pennsylvania headquarters, is a key support role within the company’s operational accounting organization with a focus on assisting with the purchasing, accounts payable and invoicing functions, while also providing support for payroll administration and reporting.  The ability to meet deadlines with a keen attention to detail and the ability to work closely with others both inside and outside the accounting function are critical aspects for a successful candidate.  Additionally, the successful candidate should be comfortable with the use of Microsoft Office products, specifically excel, as well the use of software based accounting and payroll applications to perform the job.  The proven ability to identify process improvements and streamline operations will further enhance an applicant’s prospects.

Job Responsibilities

  • Create Purchase orders, place orders with vendors, track order status, communicate order status with engineering teams
  • Calculate Use Taxes on purchases where applicable
  • Set Up new vendors in company accounting system
  • Receive W-9’s from new vendors and support annual 1099 reporting
  • Review credit worthiness of new vendors
  • Review activities and reporting in company expense tracking application for compliance to company policies
  • Generate monthly expense reports for purchases
  • Calculate monthly expenses for equipment purchases, rents, real estate and property taxes, etc.
  • Process payroll with payroll processor (Paychex) and work with Paychex to address any questions and issues as they arise
  • Provide information and answer employee questions about payroll related matters
  • Manage electronic timekeeping systems or manually collecting and reviewing timesheets
  • Prepare and issue payroll reports – both ongoing and specific requests
  • Maintain employee records
  • Coordinate with the HR department to ensure correct employee data
  • Other responsibilities as required

Job Skills & Qualifications

  • Minimum five (5) years of relevant experience in AP and Purchasing activities
  • Experience in Payroll processing
  • Associates degree in accounting desired
  • Comfort with the use of Software as a Service (SaaS) based accounting and payroll applications
  • Experience using Microsoft Office products, specifically Excel
  • Ability to work independently and as part of a team
  • Strong problem-solving skills and work ethic
  • Proven ability to streamline processes and increase efficiencies
  • Excellent verbal, written, and interpersonal communication skills
